About the role

The Administration Assistant is responsible for providing flexible and effective administrative support to the Medical Education Team, ensuring an efficient, professional and confidential operation.

The Administration Assistant will predominantly work with the education programs for junior doctors in General HMO2 and 3 rotations, including Obstetrics, Paediatrics, Anaesthesia, and Emergency. General HMO2s and HMO3s may be pursuing a career in one of those four disciplines, or in General Practice, Psychiatry or other specialty.

The role will be performed predominantly at the Sunshine site, however there will be some occasions when the role will be located at Footscray

Essential Key Selection Criteria

  • Demonstrated high level of written and oral communication skills.
  • Demonstrated advanced computing and administrative skills including Microsoft Office suite of software programs, in particular MS Outlook, Access, Word, Excel, Powerpoint, Publisher.  Data entry and developing and maintaining electronic administrative systems.
  • Developed high-level customer service and interpersonal skills, with people from diverse levels and backgrounds.
  • Demonstrated ability to work within a team
  • Demonstrated ability to produce quality documentation (e.g. reports, manuals, correspondence, templates, etc.) and to provide editing and presentation assistance for complex documents.
  • Demonstrated organisational ability and initiative including experience in prioritising to meet deadlines, work to short timelines and work cost effectively.

Desirable Key Selection Criteria

  • Experience in organisations with many internal and external relationships.
  • Medical Terminology.
  • Demonstrated commitment to continual professional and personal development.
