About the Role

Western Health’s Division of Perioperative and Critical Care Services is seeking an experienced Administration/Billing Officer to cover a period of maternity leave.

As an experienced administrative and billing officer you will support the division ensuring the efficient and effective processing of accounts within the Anaesthetics, Cardiology and Intensive Care units and offer administrative support to the department staff and Personal Assistant relief to the Directors where required.  

Duties

  • Assume responsibility and processing of billable accounts to patients, health insurance organisations and government agencies
  • Manage the status of accounts and balances and identify inconsistencies
  • Issue and post bills, receipts and invoices
  • Liaise professionally and effectively with stakeholders
  • Check the validity of debit accounts
  • Update database with new accounts or missed payments
  • Ensure all clients remain informed on their outstanding debts and deadlines
  • Provide thorough reports on billing activity with clear and reliable data
  • Undertake diary management for the Director of Anaesthetics
  • Take an accurate record of meetings and provide minutes
  • Process fortnightly timesheets for Senior Medical Staff within the unit
  • Assist with preparing Senior Medical Staff rosters for the unit
  • Provide efficient and confidential administrative support to the unit where and when required;
  • Be responsible for communications both inward and outward for the division, including mail memorandums and telephone communications;
  • Ensure confidentiality at all times for staff and patients;
  • Provide annual leave cover within the Divisional Administrative Team when and where required
  • Perform other duties as required, including requests from Service and Operations Managers

Skills & Experience OR Essential Criteria

You will have a demonstrated 36 months of accounts receivable/billing experience and it is essential that you have a working knowledge of systems including iPM, TotalCare, BOSSnet and Anaesthetics Access.  In addition you will have a minimum of 12 months experience in the management of diaries and calendars and a demonstrated ability to take an accurate record of meetings and provide minutes, further experience is essential in the preparation of medical rosters.  You will have a high degree of attention to detail with the ability to assign priority to responsibilities and meet time constraints in a dynamic environment.  Highly developed interpersonal skills coupled with excellent management and organisation skills, and a commitment to customer focussed service is essential.

Critical to your success is your ability to demonstrate initiative, discretion, confidentiality and judgement of a high order.

Proficiency in Microsoft Office Suite is a prerequisite
