Amalgamation Project Administrative Assistant

Fixed Term: 12 months, full time.

A new opportunity exists for an enthusiastic and experienced Administrative Assistant to join the team and support the work of the amalgamation between Western Health and the former Djerriwarrh Health Services.

This integral position has been established to support to administrative needs of the project team. Reporting to the Director Transition, the Administration Assistant will have a principal focus on conducting the administrative needs for team.

Duties

This role will require the successful candidate to:

  • Initiate and undertake various administration duties as identified or directed, which could include but is not limited to scheduling venues and individuals, planning for projects and or meetings, preparing and circulating various meeting minutes, plans and associated documents and ensuring actions are highlighted.
  • Support the project team to develop and maintain systems and procedures to deliver efficient and effective processes in relation to project documentation, including maintaining appropriate tracking and filing systems, regular monitoring and follow-up of outstanding items.
  • Assist the project team to achieve compliance with internal governance and approval processes through timely and accurate document maintenance.
  • Prepare various collateral for events, meetings, and ensure stakeholders receive appropriate notification and information as relating to their needs.
  • Prepare slide decks, information packs, education material and other documents that support the transition and integration.
